We are actively seeking an Administrative Team Assistant who will be responsible for overseeing the general administrative activities of the organization. As a Team Assistant, you will report to and provide support to the management team and field technician department. The ideal candidate must be punctual, reliable, and resourceful and have a positive and welcoming attitude. Enviro Diagnostics is an environmental testing and consulting company specializing in asbestos, lead-based paint, mold, and bacterial testing. We provide testing services to several different types of industries and clients
including insurance, contractors, property management and homeowners.

Job Description:
We are actively seeking an Administrative Team Assistant who will be responsible for overseeing the general administrative activities of the organization. As a Team Assistant, you will report to and provide support to
the management team and field technician department.

Must be able to work efficiently in a fast-paced environment.

Responsibilities:
• Provide administrative and organizational support
• Answer all incoming calls
• Coordinate and manage scheduling of jobs
• Update job calendar
• Maintain job log
• Create and distribute contracts
• Complete project information sheets completely and accurately
• Update contact lists as needed
• Workflow management including receipt and organization of work orders
• Able to update and communicate effectively to clients
• Account management
• Assist with accounts receivable
• Assist with accounts payable
• Willing to assist with marketing efforts
• Data entry
• Answer and document incoming prospect calls
• Maintain electronic filing system
• Monday-Friday 8:30am-5pm
Qualifications:
• Related work experience
• Sales support experience preferred
• Must present themselves in a professional manner
• Detail-oriented, enthusiastic, self-directed, and well-organized individual
• Excellent verbal and written communication skills
• Ability to simultaneously manage several projects
• Experience in the environmental or construction industry preferred
• Quickbooks and/or accounting experience a plus
• Mac, OS Platform experience preferred
• Spanish speaking a plus, but not required
